This is a new software module to improve the efficiency of proofing cycles for print projects

The time-consuming, continuing coordination of print projects between agencies, media service providers and marketing departments of customers makes up a considerable expense factor.

To ameliorate and facilitate these work flows, we can offer Matchflow adjust – a software module enabling various users all over the world to access and comment high-resolution raw data in real time simultaneously. Matchflow adjust does not require a special client software but is simply accessed via a standard browser. The number of users participating in the work flow is unlimited. Matchflow adjust enhances and can be integrated into the workflow system Matchflow or simply be used as a standalone product.

Matchflow adjust had been developed to comment and make any PDF-file (generated e.g. with QuarkXpress™ or InDesign®) available via the Internet. According to individual access rights, everyone involved in the project – customer, agency, media service provider – can enter comments and requests for modification. The latter are immediately made available to everyone. In case of new requests for modification or comments, messages to those involved in the project can be sent automatically and without delay. Via the feature ‘version administration’ a log file of all comments and modifactions is created – this way Matchflow adjust guarantees entire transparency of the complete project development. Even after completion of the project all information is preserved.

Simultaneous Access from Different Locations

Everyone involved in the process is granted simultaneous access to the document, even across different versions (modifications). All that is needed are the following features: a browser, Internet access and an access right by the initiator (usually a media service provider or an agency).

During the whole modification process everyone involved has permanent access to the current state of the document.

No Special Licences required

No further licenses are required to access the document.

Functions

Inserting comments or requests for modification

Comments are inserted into the document by way of texts or graphic symbols. A survey of all comments – organized in a tree structure – is provided at the mere push of a button. It is possible to sort the comments according to persons, versions or color models (e.g. CMYK). Various display modes are provided to make sure the user gets a clear view of all processes. It is e.g. possible to chose between a display of all comments and a detailed view of a single comment. The system automatically relates comments with versions, users and also color channels if requested (even special colors).

Color Measurement

The color values in the document can be measured in all current color modes using a “pipette” and can also be integrated in the comments. Besides the commonly used CMYK color mode special colors are supported.

RIP Integration

The selected document section is continuously computed by the RIP which enables a resolution-free mode of operation where the user does not necessarily get direct access to the proper document. The RIP included in the Matchflow adjust ColorProof version is based on Harlequin and facilitates exact color matching.

Print Report

A print report of the edited document can be generated at the mere push of a button. The report is automatically opened as PDF file and contains full information on all requests for modification and comments (e.g. information on user, creation date of the file, all modification dates of the document, date and content of the comments).

Access Control

Distinctions can be made for the access rights in Matchflow adjust. It is possible to combine several users into one group and to assign detailed access rights to this group.

Technical Requirements

Matchflow adjust is a client-server solution that is installed on a Windows server – the core piece of web-based interaction. The software is based on Java servlets and Java applets, i.e. the client needs nothing but a Java-able web browser – no further software. The server merely requires a XML database to provide a structured storage of administration data.

Practical Example

An agency is asked by a customer to design and produce a brochure. The brochure is laid out by the agency in Quark XPress™ and the design is converted into a pdf-file. Then the pdf it is stored on the server for the customer and pre-press facility while the agency excerts access control by establishing rights for users to view and comment the brochure. The customer is able to view the design on the Internet and gets the chance to insert requests for modification. The agency is automatically informed about the existence of new requests for modification via email. Then the agency’s revised version is again stored on the server and now it is the customer’s turn to receive an automatic message that the new version can be viewed. This process can be repeated as often as required. All versions of the file are saved and a log of comments by the customer is created. Once the creative process has been completed, the existing layout version of the file can be marked as final.

Matchflow adjust – Software for Media Data

Matchflow adjust can be integrated into the comprehensive Matchflow software system for media data to further improve production processes. This Matchflow Software solution was developed to organize production processes for media products. The intelligent architecture of Matchflow adjust allows a stringent organization of production processes – from order processing to a world-wide, browser-based distribution of digital media data like images, charts, texts, video and audio data. By using functional modules, a maximum degree of automation and individualization is guaranteed. Special production flows and file formats can be integrated with little effort and user interfaces can be individually adapted. Software systems that are already used by service providers for media production can be integrated and remain functional.
